Position Overview


Gallopade is seeking a detail-oriented Rostering and Data Entry Assistant to support a seamless and efficient customer onboarding experience. This role is critical to maintaining high customer satisfaction by collaborating with internal teams and supporting customers to ensure timely access for teachers and students to Gallopade’s digital platform. Responsibilities include accurately managing data across multiple systems and partnering with the rostering team to execute setups.

 

This is a part-time position, with expected hours of 10–20 per week during the majority of the year and up to 40 hours per week from July through September. Candidates must be flexible and able to adjust their schedules based on business needs.

 

Key Responsibilities


  • Accurately enter, update, and maintain customer information across multiple systems

  • Manage and maintain rostering tickets within internal platforms, ensuring timely and accurate processing

  • Monitor customer data sharing and setup processes to support efficient onboarding and ongoing service for both new and existing customers

  • Collaborate closely with the Rostering Manager to prioritize tasks and ensure workflow alignment

  • Communicate effectively and professionally with customers and cross-functional departments to support service needs

  • Maintain clear, proactive, and responsive communication with both internal teams and external customers

  • Ensure compliance with all data privacy, security, and confidentiality standards

  • Other duties as assigned

  • Demonstrated excellence in customer service, with a strong focus on client satisfaction and relationship building

  • Highly detail-oriented with strong organizational and time management abilities

  • Proven ability to meet deadlines consistently in fast-paced environments

  • Effective collaborator who thrives in team-oriented settings while also working independently

  • Strong keyboarding skills with a track record of accuracy and efficiency under pressure

  • Ability to follow established processes while maintaining high-quality standards

  • Excellent written and verbal communication skills

  • Proactive and accountable, with a willingness to take ownership of responsibilities and incorporate feedback for continuous improvement

 

Required Experience


  • Minimum 2-3 years of data entry and customer service

  • Proficiency with Google Workspace and/or MS Office, (HubSpot a plus)
